MONTHLY STRUCTURE
All MMD PRO clients have regular monthly on-site meetings, along with comprehensive monthly reports included in their PRO retainer.
We structure our monthly reporting, WIP and quarterly strategy sessions around your monthly Board meetings in the following way:
By COB on the Friday PRIOR to your monthly Board meeting, we will have your Monthly Board Report finalised.
A day or 2 AFTER your Board meeting we host your Monthly WIP Meeting (outside Sydney metro these WIP’s may occur via online Zoom meeting)
Every 3rd month, the on-site WIP is expanded to include a Quarterly Strategy Session where we discuss the bigger picture.
MONTHLY WIP
Every month, usually within the first few days after your Board Meeting, we’ll host a Work-In-Progress meeting.
We’ll always send an Agenda prior to the meeting, and we’re happy for anyone to attend. We construct your Agenda by looking at your Annual Campaign Planner (Smartsheet), our task management system (Wrike), and various other communication touch points.
We’ll work with you to decide the best time for the meeting. Venues outside Sydney metro will generally be via a Zoom meeting.
MONTHLY BOARD REPORT
Keeping all stakeholders abreast of what’s happening behind the scenes is crucial to the ongoing success of our working relationship. Once a month (usually the Friday prior to your monthly Board meeting) all stakeholders will be given access to your Interactive Marketing Update which is posted online in your PRO PORTAL.
The update includes, but is not limited to:
1. Live Tracking Dashboard
2. Monthly Highlights
3. Completed Tasks
4. Projects Update (derived from Strategic Objectives)
5. Campaigns in Progress
6. Recent Artwork
LIVE TRACKING DASHBOARD
An important feature of our monthly reporting is the live tracking dashboard that pulls key data points from various sources on to the one screen.
In the lead up to reporting time, we will ask you to share relevant data with us like revenue, function sales & enquiries, visitation and gaming turnover.
To input this data take the following steps:
SIGN IN to your PORTAL on this page in the top menu bar
Select INFORMATION HUB from the menu on the right hand side
Scroll down the page to SHARED DATA
Click the button/s to access the sheets where we collect data. They are held in a secure system called Smartsheet.

QUARTERLY STRATEGY SESSION
Every 3rd month your Monthly WIP is extended to include a Quarterly Strategy Session, and we will always aim to host these on site at your venue.
These sessions give us a chance to re-visit your big picture and result in various “projects” that we have agreed to complete together. These are the items that sit outside the usual campaign activation tasks, and this space is where we keep track of who has agreed to do what, and by when.
All this information is stored by us within Wrike and there are instructions listed in your PRO PORTAL on how to access the tasks to be completed.
You will need to click VIEW TASKS, then enter the email address and password provided on the screen. Navigate to the folder tree on the left-hand side, and then open up the existing projects in the TABLE VIEW. You can click on individual tasks to open them. You can also make comments, mark tasks as complete and upload any relevant documentation within each individual task.
